Administrative Assistant
Position Summary
This position will provide administrative support to multiple departments under the umbrella of the Vice Provost for Academic Affairs, including Student Success and Life Design, Undergraduate Education, BG Perspective, Academic Investment in Mathematics and Science (AIMS), and Summer Academic Youth Programs.
Responsibilities include routine administrative tasks, tracking and maintaining budgets, coordinating conference travel and reimbursements, scheduling meetings, maintaining calendars, event planning and coordination between departments across campus, and scheduling BGSU 1910.
Essential Duties, Tasks and Responsibilities
- Serves as budget requestor and reconciles budgets for the following offices: Student Success and Life Design, Undergraduate Education, BG Perspective, Academic Investment in Mathematics and Science (AIMS), and Summer Academic Youth Programs. Coordinate travel, including lodging, airfare, and reimbursement for staff in the various offices.
- Coordinate with Design Coaches and campus partners to develop the BGSU 1910 schedule for each semester. Build and assign instructors to all BGSU 1910 sections in CSS. Track enrollments in all sections and enroll/drop students from classes based as needed.
- Provide daily support to staff members in the Office of Student Success and Life Design by scheduling meetings, tracking leave requests, assisting with travel arrangements and reimbursements, ordering supplies, and answering questions and inquiries from students, families and campus partners received in person, by email and telephone.
- Support coordination of Life Design events.
- Coordinate Weeks of Welcome sessions including BGSU 1910 Class Zero, College Academic Programming, and Convocation.
- Support the Learning Assistant Program by coordinating the hiring of learning assistants through student employment. Track budget, run queries and create reports for the Learning Assistant program.
- Work with the Coordinator of Summer Youth Academic Programs to post job descriptions, interview candidates, submit background checks, hire and process students for various summer academic camps. Tracks revenue and expenses for the camps.
- Research, analyze, and maintain queries and CSS to write or edit reports, presentations, policies, etc.
- Maintain several individuals’ and office calendars, coordinate meetings and special events. Schedules and secures meeting location, teleconference capabilities, and catering.
- Assist in website management for Student Success and Life Design.
- Manage office administrative and auxiliary functions, including routine and non-routine activities. Develop and implement policies, procedures and forms related to department administrative operations. Research and responds to questions from students, staff, and faculty.
- Other duties as assigned.

Minimum Qualifications:
Experience
One-year related experience required.
Education
High school diploma or GED required.
Salary
Full-time, twelve-month classified staff position. Classified Pay Grade 26/$17.19. Full benefit package available.
