Position Summary:  Works under direction of the Director for the Office of Multicultural Affairs (OMA). Performs a variety of support and administrative duties.

Essential Duties, Tasks and Responsibilities

  • Acts as a liaison between Director, staff, other University departments/offices and the general public. Provides information or handles subsequent administrative details.
  • Maintains calendar for Director, schedules meetings with the general public, OMA staff or other departments.
  • Serves as liaison for OMA in relationship with Student Employment, Career Center, TRIO Programs, Multicultural Initiatives for Graduate Student Success (MIGSS), LGBTQ+ Resource Center and Programs, Multicultural Student Center, and Diversity and Inclusion Programs
  • Submits monthly and end of the year budgets to the Director or as needed. Assist in development of the annual budget.
  • Composes MS Office spreadsheets, and maintains budget expenditures for each program in the department.
  • Makes recommendations and maintains equipment (computers, printers, copier, and office fixtures). In addition will provide equipment asset report.
  • Sets up and maintains files for the department.
  • Handles and maintains report on space audit for department to submit to Capital Planning.
  • Collects and forwards vacation and sick leave reports for OMA staff.
  • Works with staff in coordinating event planning with meals, set-up, and electronic deposits.
  • In relationship to programs, works closely with Bursar's Office, Accounts Payable, Event Planning, and Catering Services.
  • Performs public relations duties, responds to inquiries, furnishes information, explain programs to the public.
  • Acts as a liaison with the Student Financial Aid Office and Student Employment Office with respect to student employees
  • Acts as a liaison with the Student Financial Aid Office and Student Employment Office with respect to student employees
  • Processes online and other paperwork and associated with student employees, approves time/labor and monitors federal work-study allocations, and maintains Student Employee Handbook.
  • Supervises, trains, interviews and evaluates student employees. Distributes workload and oversees and supervises student reception area in answering phone calls, screening calls, greeting and directing walk-in traffic, opening, sorting and distributing mail to offices, and other duties assigned to student employees.
  • Provide graduate assistants or new employees with personnel orientation, security request forms, keys/ped, name badge, business cards, voicemail, outlook calendar access, parking permit, etc.
  • Acts as a liaison with Technology Support Center and Facility Services with respect to new employees or new graduate assistants.
  • Serves as an area contact person for OMA in relationship with Student Employment, Career Center, Trio Programs, Project Search and Lesbian, Gay, Bisexual, Trans* Programs or Access, Diversity and Inclusion Programs.
  • Makes recommendations and assists in developing new procedures and programs.
  • Works on special assignments and projects as directed.

Minimum Qualifications

Required Experience

  •  One year related experience required

Required Education

  • High school diploma or GED required



Full-time classified staff position.  Classified pay grade 26/$16.23/hr.   Full benefits package available.
