Position Summary
Provides administrative oversight, and coordination of the operational, budgetary and personnel activities for the Center for Regional Development. Prepares and/or provides coordination, analysis, data collection, reports and other communications for the Center for Regional Development. Provides financial-related support for the Center for Regional Development, including planning, creation, and analysis, forecasting, and tracking of grant and department budgets. Serves as principal office liaison to several university offices including Office of Sponsored Programs and Research, Grants Accounting, and Payroll. Responsible for personnel related actions including contract addendums for grant related activity as well as hiring of graduate assistants and student employees. Represents the Center for Regional Development in matters involving general administrative issues, budgets, faculty/staff contracts, payroll, donors and donor/scholarship accounts, purchasing and the physical state of the building.
Essential Duties, Tasks and Responsibilities
- Fiscal/Budget related actions – under direction of the Senior Director, responsibility for all aspects of budgeting for the Center for Regional Development. This includes: budget loads (both operational and personnel); salary calculations; salary increases; grants and grant salary releases; monthly budget reports for CRD Senior Director; carry forward analysis, all calculations, verifications and analysis, indirect cost recovery from; maintain departmental P-Card reconcile and establish appropriate expenditures as well as approval of expenditures; validity of funding source (both staffing, equipment and capital), determining requirements for approval, available funding, working closely with the Office of Sponsored Programs and Grants Accounting to secure appropriate funding/balances; responsible for overseeing the office purchasing and billing; draft budget projections based on current and previous usage patterns and budget forecasting.
- Executive/Administrative support – serves as the first contact for the Center for Regional Development for external stakeholders, students, faculty, staff, and other university colleges/departments; handle, independently investigate and resolve issues; keep Senior Director apprised of issues and the subsequent resolutions; provides coordination between CRD staff; responsible for correspondence to various internal and external constituencies; coordinate, attend and scribe meetings upon request. Represent Senior Director at meetings and report finding/results back to CRD as appropriate. Monitors, advises and/or leads various projects and actions taken for the Senior Director and CRD; Supervises office student employees. Author, compile and manage communications for the Center for Regional Development. Plans, oversees, organizes and assists with major/special events including the annual State of the Region conference.
- Personnel related actions – perform initial review of proposed personnel actions including drafting position descriptions, forms for advertising/posting, search committees, scheduling/coordinating interviews and associated travel. Responsible for the initiation and completion of all contracts, addendums, and contract letters for all administrative staff and affiliated faculty. Knowledge, Skills or Abilities
- Knowledge of budgeting and accounting principles and best practices, particularly in higher education institution.
- Knowledge of grant budgeting and administration preferred.
- Strong managerial and administrative skills.
- Ability to shift work among various and unique projects.
- Excellent written and verbal communications skills.
- Must be able to work independently and develop creative solutions to challenges.
Minimum Qualifications:
Associate’s degree in business, finance, accounting, or other relevant field. Bachelor’s degree preferred. Successful candidate must have Associate’s degree conferred at the time of application.
The following experience is required:
- 2-4 years of budgeting and accounting experience. Experience with higher education budgeting and accounting preferred.
- 1-2 years’ experience of grant administration preferred
Salary
Full-time, grant-funded administrative staff position available. Administrative Grade Level 353. Salary is commensurate with education and experience. Full benefit package available.
