Executive Assistant to the President
Position Summary
Reporting to the Vice President for Partnerships and Chief of Staff, this position provides administrative oversight and coordination of operational activities; serves as liaison between the President, Vice President for Partnerships and Chief of Staff, and University divisions/offices; administers and manages the coordination, progress tracking, and reporting of institutional strategic initiatives and projects; prepares and/or provides coordination, data collection, analysis and reports; and oversees the planning, scheduling, and execution of meetings and events for, and on behalf of the President and Vice President for Partnerships and Chief of Staff.
Essential Duties, Tasks and Responsibilities
COORDINATION OF ADMINISTRATIVE OPERATIONS/OVERSIGHT OF PROJECTS
- Serves as the primary support to the President and Vice President for Partnerships and Chief of Staff for all administrative and operational matters. Coordinates and manages the daily meeting schedule by: collaborating with other assistants to schedule meetings, recommending topical issues for discussion; gathering research, data/data analysis, and preparation of reports; compiles background meeting materials for briefing; ensures all pertinent/relevant supporting materials are summarized, organized, and distributed prior to the meeting to ensure effective and productive use of meeting time; creates meeting minutes/notes as needed.
- Exercising independent judgement, provides administration to and/or manages projects, short-term and long-term planning and initiatives; both ongoing and ad hoc. Tracks internal and external projects and initiatives that directly or indirectly are responsible to the President and Vice President for Partnerships and Chief of Staff; updates strategic planning and goals documents; issues/prepares periodic updates for the University community, targeted audiences, and broader audiences as needed.
- Develops, distributes, and monitors timelines for the President and Vice President for Partnerships and Chief of Staff and staff in the Office of the President to submit required reports and/or information. Sets short-term goals; evaluates materials for missing items, proofs and edits, and prepares/compiles for next level/final review and/or signatures.
COMMUNICATIONS MANAGEMENT
- Authors, compiles, and manages communications flow to and from the President and Vice President for Partnerships and Chief of Staff. This includes access to the President’s and Vice President for Partnership’s email, so that items can be addressed immediately or marked for follow-up.
- Prepares and disseminates reports to various constituencies; independently investigates concerns and issues, and provides recommendations/resolutions to the President and Vice President for Partnerships and Chief of Staff and others. Tracks standing reports and ad hoc requests to ensure assignments and requests are met, submitted on time, distributed to appropriate individuals, and archived.
SPECIAL PROJECTS
- Work on special projects as assigned by the President and/or VP for Partnership. Projects may range from strategic planning, researching memberships, analyzing past reports, to a vast number of other projects.
Knowledge, Skills or Abilities
- Excellent verbal and written communications skills involving high-level and detailed communications with internal and external contacts; ability to listen, to simplify details, synthesize main points of larger documents to provide executive summaries
- Ability to manage multiple projects simultaneously, project management skills, follow-up, and follow-through skills, flexibility
- Demonstrate the ability to analyze complex information or problems in a methodical style and develop logical conclusions for establishing priorities and thus selecting the appropriate course of action.
- Knowledge of higher education operations and environments
- Demonstrated ability to take initiative, anticipate needs, act with diplomacy and tact, and exercise independent and sound judgement
- Demonstrated ability to perform at a high level and meet deadlines
- Demonstrated ability to tolerate high levels of ambiguity
- Excellent organizational skills, attention to detail required; ability to prioritize multiple requests.
- Excellent decision-making skills. Must be tactful, good listener, willingness to search out answers that might not be apparent; ability to recognize when others need to be involved in activities and decisions.

Minimum Qualifications
Bachelor’s degree required. Degree must be conferred at the time of application. Must have and maintain a valid driver’s license and comply with the University’s vehicle use policy.

- Higher education experience
Salary
Full-time, Administrative staff position available. Administrative Grade Level 356. Salary is commensurate with education and experience. Full benefit package available.
