Space Data Coordinator
Position Summary
Manage critical space data for use in campus space planning and management, Ohio Higher Education Information System (HEI) Facilities reporting, and asset management. To accomplish this, manage the space management system, database and floor plan drawings. Other responsibilities include campus interior signage management and projects, Classroom and Class Lab maps, and manage the instructional spaces in the room scheduling system.
Essential Duties, Tasks and Responsibilities
Manage the Space Management System that is utilized for many critical uses such as space planning, space management and asset management, and Ohio Higher Education Information System (HEI) Facilities reporting.
- Maintain over 20 attributes for over 100 campus buildings including gross square footage, physical and functional conditions and replacement values which are updated yearly. For the over 18,500 rooms on campus, 20+ attributes need to be determined and entered. Key attributes include two levels of space classification, consisting of 850 area type codes, and function codes for institutional missions and financial accounting purposes.
- For academic spaces, determine the subject code from a list of over 1100 codes that best describes the subject which an area serves the majority of the time.
- Coordinate with departments to determine space utilized for grant funded research, and update when grants expire or are renewed.
- Determine capacities for classrooms, offices, and cubicles.
- Manage occupancy by coordinating with departments to accurately show assigned workspace locations for over 2800 faculty, staff, and student employees.
- Maintain the five-level hierarchy of over 400 university departments and assign properly to all university spaces, and update when department space changes and moves occur. These and other attributes are also used for the National Science Foundation (NSF) Survey of Science and Engineering Research Facilities, to collect information on the status of science and engineering research facilities at research performing academic institutions. Data is also used to report space use and occupancy rates for analyzation for space planning and management purposes.
- Continue to add to and maintain the collection of 8,000 pictures of interior spaces. Improve and streamline the coordination or the space management system with the universities maintenance management system.
- Enter and maintain assets in the system such as furniture and equipment.
- Coordinate with BGSU Space Planner and Interior Design firms to document furniture layouts and specifications for input as assets.
Manage the building floor plan drawings for the Bowling Green Campus, Firelands Campus, and off-campus for over 100 buildings consisting of over 5 million square feet. Buildings consist of various uses such as Classrooms, Laboratories, Offices, Meeting Spaces, Athletics, Dining, and Residential. Building floor plan drawings are uploaded into the space management system and determine the floor plan configuration, accurate square footage, room number and furniture layout. They are also provided as a basis for design to architecture and engineering firms for building renovation and interior design projects. As floor plans change due to new construction or renovations, they are updated, which will include field measurement and data collection.
- This position is responsible for room numbering for all campus buildings and creating and maintaining room numbering standards. When new renovation or construction projects occur coordinate with the BGSU Project Manager and Design Consultant to establish room numbers per the BGSU standard.
- Create and maintain building evacuation plans and life safety equipment locations based on the floor plan drawings.
Manage Interior Signage. Position is responsible for all interior signage for the Bowling Green campus.
- For new construction or renovation projects coordinate with BGSU Project Manager and Design Consultant to determine signage and ensure it conforms with the university standard.
- Coordinate with signage vendors and installation contractors, place orders and determine funding sources.
- When existing signage is being replaced coordinate with campus departments to define needs, costs, and project timeline.
Manage Classroom Maps for the Office of Registration and Records that document all classroom and class lab features including furniture, seating capacity, technology and layout options. Determine seating capacities and furniture layouts and document all classroom and class lab amenities. Registration and Records, Academic Colleges Administration and Faculty utilize classroom and class lab maps for scheduling, determining capacities, course pedagogy, and course technology utilization. Classroom and class lab data from maps is entered into the University room scheduling software for credit classes and non-credit events. Classroom and class lab conditions to be physically verified at the beginning of each Academic Semester, and as requested when issues arise during the school year. Resolve issues regarding maintenance, furniture and capacities, and update maps accordingly.
Manage Instructional space in room scheduling system.
- Edit system attributes in nine categories as instructional spaces are brought online or taken offline, or when renovated or capacity is changed.
- Maintain user permissions per room for ability to edit and schedule rooms for credit classes and non-credit events.
- Run reports as necessary for classroom data and utilization. Scheduling system is used by Registration and Records to schedule courses and optimize instructional space utilization.
Ohio Higher Education Information System (HEI) Facilities reporting. Report is used for a variety of purposes by the state that include reporting on higher education outcomes, funding formula and financial aid program support, policy analysis, and strategic planning. Key reports submitted include the Physical Structure Inventory (PS), which reports all university buildings including their gross square footage, physical and functional conditions, and replacement values which each need to be updated yearly. Area Inventory (AI) which includes the net square footage, capacity, function, subject, and area type for over 18,500 rooms. Reports to be formatted in a specified format and submitted on a yearly deadline.

Minimum Qualifications
The following Degree is required:
- Bachelor’s degree required. Degree must be conferred at the time of application.
- Bachelor’s degree in Architecture, Construction Management, or Interior Design preferred.
The following Experience is required:
- 3 months of professional experience in one of the following areas: Building floor plan creation and/or maintenance, Computer Aided Design (CAD) and/or Building Information Modeling (BIM) experience.
- 6 months internship and/or co-op (undergraduate or graduate) experience in these areas equals 3 months of professional experience
The following Licensure is required:
- Must have and maintain a valid driver’s license and comply with the University’s vehicle use policy.
Salary
Full-time Administrative staff position available. Administrative Grade Level 353. Salary is commensurate with education and experience. Full benefits package available.
