Summary

This position serves as secretary in the Office of the Dean. Under general supervision of the Assistant to the Dean this position relieves the supervisor from routine administrative tasks and provides essential frontline assistance to administrators, faculty, students, staff, and guests. Assist the Dean's Office and the College with day-to-day tasks and operations. Assist with industry partner, accreditation, and other visits. Order supplies and review the budget. Also support other duties in the College of Technology, Architecture and Applied Engineering.

Essential Functions

• Greet visitors, answer telephone, make appointments for Dean's Office, set up meetings, act as liaison between Dean's Office and faculty, staff, and administrators and other internal and external contacts.
• Screen for possible issues and discuss with Dean/Staff. Provide needed material/information for meetings/appointments. Compose correspondence, mail merges, various reports, presentations, policies, and procedures. Sort and distribute college-related mail.
• Track college budgets and P-Card transactions. Create requisitions, invoices, receipts, and transfers in the university's financial management system (FMS).
• Attend college-related meetings and record and distribute minutes and agendas (as needed),
• Order and maintain office/computer supplies, request service for copier/printer, laptops, and projectors.
• Assist as needed with faculty (including adjuncts) and staff hiring processes, on-boarding, and continued personnel matters.
• Support and assist industry partners on their visits to campus.
• Support and assist faculty. staff, and students within the college by placing work orders, ordering supplies, maintaining equipment, typing, filing and other duties to keep the college in good working order.
• Maintain grant budgets for faculty as needed.
• Open and close Dean's office at University-appointed times.
• Interact with and support other college staff and administrators as needed,
• Perform other duties as assigned by supervisor.

Minimum Qualifications

• One year related experience required

The following Education is required:

• High school diploma or GED required

• Ability to access and maintain document imaging systems, including scanning and filing documents
• Ability to operate computers and peripheral equipment such as printers
• Ability to draft office correspondence
