Heatec, Inc. is seeking an Accounts Payable and Payroll Backup Clerk to manage all activities in the accounts payable process.
This role ensures that timely and accurate processing and payment of vendor invoices and expense reports in accordance with company policies. This role also maintains the accounts payable subsidiary ledger and applicable accounting reports and schedules.
General Functions:
- Accurate entry of payables into the ERP while ensuring materials have been received correctly.
- Research and resolve invoice discrepancies and other issues in a timely manner while continuing to ensure current workflow is uninterrupted.
- Maintain thorough organized files and work space with the ability to scan information into electronic files and work toward a paperless accounts payable process.
- Reconcile and post accounts payable accurately and timely, weekly and at month-end closing.
- Processing payroll as the backup will be required during the absence of the payroll administrator.
- Prepare all manual and on demand checks.
- Prepare and issue annual 1099s to needed vendors.
- Prepare and transmit bank files needed to monitor weekly check runs.
- Preparation of annual audit documentation and any necessary testing required.
Education: Three years of Accounts Payable experience or similar Accounting role, or Associated Degree in Accounting required.
Key Competencies:
- Attention to detail and accuracy with good problem solving skills and sound judgement.
- Knowledge of general accounting terms with the ability to do reconciliations and analytical analysis as needed.
- Good communication skills to interact with customers, vendors, and other departments and be a team player.
- Must be experienced in Microsoft Word, Excel, and Outlook and have the ability to adapt to new and improved processes.
- Knowledge of processing payroll and compliance rules related to payroll, but not required.
- Eagerness to improve current processes for efficiency and accuracy.
- Ability to be flexible in a laidback work environment.
- Knowledge of sales tax requirements would be helpful but not required.
- General Work Schedule.
- This position will be scheduled Monday thru Friday and require weekend work when necessary.
- This individual must be willing and able to stay later than schedule at times to ensure needs are met.
