Primary Function of Position
The Receptionist is the permanent contact party for all office related activities.
The role covers the reception and an ongoing proper administration of the office to the highest standards. The Receptionist is providing on-going support to the Office & Facility Supervisor for certain daily activities.
Primary Responsibilities
Reception
-
Welcome desk, incoming phone calls, welcome visitors, candidates and suppliers

UPS and courier dispatching
-
Issue badges for new employees
-
Create visit cards
Office supply and site management
-
Organization of the on-going office maintenance: stationery and any other inventory (Coffee, Utilities, Kitchen related, other) management along with consistent and efficient ordering process

Daily fill up coffee, tea, drinks etc. in the kitchen and the coffee corners
-
Parking organization (Internal tool)
-
Small furniture order and supervision of the set-up
-
Follow up contracts such as concierge, office cleaning, electronic stamping and any other necessary device

Monitor that all tasks are fulfilled according to the contracts
-
Advise and inform employees about intervention, e.g. window cleaners, and other disturbing works
-
Keep a close contact to our main suppliers and potentially find new suppliers to challenge the existing ones for best quotes
-
Errands for the office (gifts, small furniture, flowers, etc.)
-
Listings update: European and Aubonne phone list, parking, birthdays
-
Coordinate annual and punctual events related to some of employee life cycles such as flowers for wedding, birth and other
Employees and Team Support

Help with meeting room set-up for internal meetings and event organization (lunch order, drinks, set up tables, food, etc.)

Provide support for staff event organization, such as Welcome Day, parties, Christmas evening, farewell

Provide support for hotel, taxi or any other reservation
-
Upon request accomplish selected tasks as backup for the Office & Facility Supervisor (fixings, security, office checks, decoration, etc.)

Travel expenses for VP’s and directors

Invoices management
Required Knowledge, Skills and Experience
-
Dynamic, self-starter, customer focused, autonomous
-
Good knowledge of MS Office
-
Fluent at least in English and French (written and spoken)
-
Excellent communication, interpersonal skills and welcoming
-
Flexible (also lunch time), reliable and strong service ethics

A keen ability to organize, prioritize and juggle tasks

Good presentation
Preferred Knowledge, Skills and Experience

Experience in a similar role in an international company

Having worked in a US group and/or in the medical industry environment

Fluency in German would be a plus
