JOB GOAL: To assist the Treasurer/CFO in maintaining the needs, goals, and interests of the school district and its staff in a positive and efficient manner.
QUALIFICATIONS: Must have an Associate's Degree in Paralegal, Finance, or Accounting.
Demonstrated Skills in the following: Construct/Compose a Business Letter, Edit/Correct a Business Letter, Excel with Mail Merge, Excel with Formulas, Access, Publisher, Typing (45 WPM), Google Documents, Google Calendar. Demonstrated record of successful employment in related job experience. Must possess excellent math skills and proficient in generally accepted accounting principles. Must possess excellent organizational skills, accuracy, and attention to detail.
Knowledge of the following: general office practices, PowerSchool, AESOP, USAS, USPS, Board Docs, photocopying, scanning, and email. Ability to communicate with the public in a positive and professional manner including confidentiality. Ability to transcribe from machine dictation or notes. Ability to work additional hours on an as-needed basis. Ability to work independently and without close supervision. Assist in processing payroll and absences and serve as back-up payroll secretary when needed. Must be willing to obtain Notary Public Commission. Must complete all training as required by Sylvania Schools and/or the Ohio Department of Education. Consistent and reliable attendance required to meet deadlines. Working knowledge of the Uniform School Accounting System.
RESPONSIBILITIES: Acts as liaison between Treasurer/CFO, Board of Education, staff, public, and school-related agencies. Word processing and distribution of correspondence, memo checks, and memo check purchase orders. Post student fees payments and free/reduced lunch waivers. Prepare invoices for building usage and custodial time. Process appropriation changes, refund of receipts, transfer/advances, investments, and various accounting entries. Process and balance invoices, check requests for tuition, reimbursements, and other expenditures. Meet with sales representatives and obtain bids for larges purchases for the administrative offices. Maintain system-wide yearly fiscal maintenance agreements. Prepare Treasurer/CFO agenda items and official Board minutes. Maintain current vendor list including the assignment of new vendor numbers and responsible for reporting of new hire information to OJFS. Enter beginning budgets and make necessary amendments. Assist in preparation of 1099 files for reporting to the IRS. Act as a resource person for USAS accounting system. Prepare various USAS reports including Financial Summary of Funds and Registers. Maintain computer files and various reports on spreadsheet, database, and word processing files. Maintain petty cash reimbursements and accounts. Perform accounts payable duties as assigned by the Treasurer/CFO. Perform follow-up on past due workbook fees. Maintain Treasurer/CFO's office budget center account and purchases. Coordinate completion and submission of purpose and budget statements. Act as backup to the payroll section. Responsible to enter personal absences on AESOP and Time Clock Plus. Responsible to check your district email account on a regular basis, and to communicate as needed via email. Perform other duties and assume such other responsibilities as necessary for the successful operation of the department.
