Senior Associate, Accounts Receivable
Responsible for providing day-to-day support for the work of the Grants & Accounts Receivable team. Serves as a back-up contact for accounts receivable questions/issues. Assists with data entry, data analysis, and data management related to the organization’s accounts receivable and providing timely responses to customer related inquiries. Supports the annual work goals and objectives of the Finance team in general and the Grants/AR team specifically.
Key Responsibilities/Essential Duties of Position: An individual must be able to perform each essential duty listed below at a satisfactory level:
- Accounts Receivable & Grants:
- Assist with coordination and maintenance of monthly billings and customer accounts for United Way Worldwide(UWW):
- Membership dues – quarterly (mail/email)
- Prepare invoices for UWW Retirees
- Prepare invoices for Employee Personal Postage, etc.
- Mail/Email Collection notices
- Assist with coordination and maintenance of United Way of the Bay Area (UWBA) Grants;
- Reconcile Grant Balances
- Prepare reports for UWBA Grantors
- Prepare invoices for Employee Personal Postage, etc.
- Assist with coordination and maintenance of International Service Funds (ISF) and International Impact Funds (IIF)
- Reconcile ISF and IIF Balances monthly and prepare transaction reports
- Generate quarterly account statements ISF and IIF for recipient organizations
- Assist in the distribution of ISF and IIF funds to international partners
- Timely respond to inquires from donors & recipients regarding fund balances
- Assist with coordination and maintenance of monthly billings and customer accounts for United Way Worldwide(UWW):
- Salesforce Philanthropy Cloud (SPC):
- Assist with reconciliation of Credit Card contributions
- Run daily credit card contribution reports
- Separate out SPC client transactions
- Verify collection of transaction
- Prepare distribution reports & payment authorizations for transfer of funds to SPC pledge processor(s)
- Assist with execution of Stock contributions:
- Run report via DS CRM to view Stock Gifts
- Receives and record SPC transactions
- Prepare – transfer funds to Frontstream
- Reconcile SPC donor payments
- Assist with reconciliation of Credit Card contributions
- Other:
- Assist with International Donor Advised Giving (IDAG) grant management
- Other duties as assigned by the Manager, Grants & Accounts Receivable or the Director, Grants & International Giving
Job Requirements:
Minimum requirements include:

High school diploma required

An Associate degree in Accounting/Finance or commensurate experience in a similar or related position preferred

Strong skills in Microsoft Office suite, as well as in computer and Internet research skills

Flexibility, excellent interpersonal skills, and Self-starter willing to implement process improvements

Project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors

Sensitivity to confidential matters may be required

Attention to detail is essential

The ideal candidate will have strong communication skills (written and verbal), and a clear ability to multi-task in a fast-paced environment

Prior experience with Microsoft Dynamics (Great Plains) software, a plus

Must be a team player with the ability to relate to all levels of staff and have excellent organizational skills
