Position Overview:
The position takes a lead role in the development, coordination, and implementation of Dining Services Business Applications, including CBORD Foodservice Suite (FSS), MICROS POS, Odyssey, and Square software systems used by Dining Services and the contracted food service management operator (Aramark). This position provides training and support to appropriate staff in Dining Services, Aramark, Business Services Division (BSD), and other constituents of Dining Services. The position reports directly to and receives general supervision from the Director, Dining Services. The position monitors and provides work direction to a part-time student assistant.
Duties & Responsibilities:
Assists with developing, coordinating, and implementing Dining Services Business Application software programs managed by University Enterprises, Inc. (UEI) for Campus Dining Services operations, including the residential and retail dining units. Assists in implementing and maintaining all software interfaces (e.g., MICROS/CBORD).
Assists in the strategic planning process regarding Dining Services Business Applications and associated technology decisions. Consults with appropriate UEI departments and Aramark to assess processes in order to gather system requirements for prospective technology solutions that respond to business needs.
Develops and oversees CBORD system security and authorization procedures. Prepares CBORD to run nightly queues; maintains and/or creates user IDs, upgrades software, and works with the vendor to ensure system integrity. Works with the UEI Information Technology as needed.
Monitors, evaluates, researches, and recommends upgrades and/or replacement of hardware and software including but not limited to servers, point of sales devices, tablets, readers, and associated software as necessary. Works collaboratively with Aramark and the UEI Information Technology department to ensure all interfaces and upgrades are scheduled and performed to ensure seamless transition.
Works with UEI and Aramark management and administrative staff to print standard and customized reports from CBORD, MICROS POS, and Odyssey. Develops customized reports as needed. Reviews reports for accuracy.
Responsible for operating and managing the Meal Plan System using CBORD/Odyssey; coordinating the meal plan roster of current students with the Office of Housing and Residential Life; creating and/or issuing replacement meal cards as needed; reconciling meal plan revenue; and maintaining and updating data in the Meal Plan database. Manages and updates all student Flex Dollar accounts for the department. Ensures accurate information, such as meal plan balances is provided to customers.
Reviews and maintains documentation to aid in maintaining system integrity. Reviews software documentation to solve problems and learn of new software applications.
Serves as a liaison to internal and external stakeholders for questions related to Dining Services Business Applications, including complex technical issues.
Provides training and support, analysis, recommendations and first level support for the Meal Card service equipment (technology) to Aramark employees.
Answers telephone calls and receives visitors. Determines the nature of calls and either responds to caller or refers call to the appropriate person. Responds to requests for information and answers general questions related to the department. Provides high quality customer service and maintains professionalism in all customer contacts, works to solve internal/external customer problems in a positive and professional manner. Serves as a liaison to Dining Services Business Application software vendors.
Prepares and updates standard procedures manuals for Dining Services Business Applications and shares with Aramark management. Creates standardized template forms for users that work and interface with Dining Services Business Applications.
Periodically attends and participates in seminars, webcasts, or workshops to stay current with future industry software and technology trends.
Provides training to Aramark management regarding Dining Services Business Applications.
In coordination with Dining Services Business and Operations Analyst, manages menu items, prices, and barcodes for all Aramark eateries through MICROS POS system.
Creates UEI Campus Dining Gift Cards, manages the Gift Card database, and runs reports from Odyssey for BSD for reconciliation.
Oversees the acceptance of electronic invoices, resolving discrepancies between invoices and general items. Reviews, processes, and forwards invoices to staff as necessary.
Performs other job-related duties as assigned.
Minimum Qualifications:
Demonstrated experience maintaining database software including data entry, assisting with upgrades, running reports, maintaining documentation, and performing basic system maintenance.
Demonstrated experience preparing, reviewing, analyzing data, and writing clear and concise reports.
Demonstrated experience in use of computer applications including word-processing, email, and spreadsheets software, such as the programs in the Microsoft Office Suite.
Demonstrated ability to maintain and improve skills and expertise to stay current with technical progress in the Dining Services Information Technology field.
Demonstrated ability to perform analysis of business processes and computer systems to recommend and implement hardware and software improvements.
Strong analytical, problem solving and project management skills.
Ability to train others on new skills and procedures and the use of various software programs.
Demonstrated excellent oral and written communication skills.
Demonstrated ability to work effectively and cooperatively with students, staff, faculty, and vendors with diverse cultural backgrounds.
Must be extremely detail oriented. Demonstrated ability to work independently with little direction, to coordinate and prioritize details of a multi-task environment, set deadlines and complete projects accordingly. Skill in working in hectic environment with numerous interruptions while maintaining a professional atmosphere and exercising tact and good judgment.
Must pass a background check, which may include fingerprinting. Must continue to meet the established standards.
Preferred Qualifications:
Demonstrated experience using Food Service Software such as CBORD, MICROS, or Odyssey Direct.
Demonstrated knowledge of training principles, methods, and practices.
