The Friday Harbor Laboratories (FHL) has an exciting opportunity for a Temporary, Part-Time Counseling Services Coordinator based on the UW Seattle campus.
FHL has a 120-year history of offering experiential field-based learning for UW and other undergraduate students with an interest in marine sciences. A series of undergraduate courses are offered in Fall and Spring quarters, and a mixed program of undergraduate and graduate coursework in Summer.
This position will play a key role in helping to recruit and enroll undergraduate students from the UW (all three campuses) to FHL for Fall and Spring quarters. Working with the Marine Biology advising staff and student services personnel in all biological sciences and marine sciences units, this position will be responsible for all student recruitment and processing applications to FHL. The ideal candidate will be able to knowledgeably advise UW undergraduates about the details of taking courses at FHL; the challenges and benefits; what life at FHL is like; and how to negotiate applications, financial aid needs, and accommodation needs. This person will also do a variety of marketing efforts, communicate with FHL instructors about website descriptions and attending recruiting events, and handle most of the processes needed to set up FHL courses and evaluation processes. This person needs to be outgoing and genuinely enthusiastic about FHL. Duties are described in each area:
Course promotion and recruitment
• Coordinate and facilitate FHL recruitment materials, events and activities promoting autumn and spring courses across multiple modes, including online, on paper, and in-person activities. These activities will include website work, social media, group information sessions, and individual meetings with students.
• Regularly communicate directly with advising personnel for targeted programs (marine, biological, and environmental sciences) to develop a recruitment network for students to FHL.
• Direct outreach to advisers serving general (pre-major) students as Office of Minority Affairs & Diversity Academic Counseling Services.
• Promote FHL undergraduate programs to faculty and student services staff at UW Bothell, UW Tacoma, and other universities nationwide.
FHL application and admissions process
• Respond to student inquiries regarding FHL programs, including logistics, expenses, and financial aid options. Communicate with students in person, by phone and email as needed.
• Manage student applications (within the FHL application software) for all academic year courses; coordinate with course faculty and with FHL Education Director to determine student admissions.
• Assist students in registering for academic year courses, including occasional non-matriculated students.
• Register students for research apprenticeships through UW Continuum College.
• Communicate with FHL Housing and Dining Coordinators re: estimated (followed by actual) student numbers for each quarter, and special housing and dining requests.
• Update the quarter-specific CANVAS website with information for students who have been accepted about next steps, what to expect.
Student Financial Aid
• Work with FHL Director or Education Director to determine financial aid awards for academic year students.
• Manage Mary Gates Endowment scholarship applications and awards for eligible UW students in spring and fall; submit final student research papers to the MGE office and complete MGE reporting, as required.
Data and reporting
• Quantify, track and report on the reach and efficacy of recruitment activities.
• Track applications and enrollments, and report results back to FHL leadership.
Other duties as assigned.
Required Qualifications
• Bachelor's degree (BA or BS).
• Two years of related experience.
• Proficient in Excel, demonstrated experience working within databases.
• Demonstrated writing and public presentation experience.
DESIRED QUALIFICATIONS
Familiarity with FHL, ideally understanding how FHL courses can fulfill requirements across majors, and be able to answer those questions when talking to students. Demonstrated experience in student services, including but not limited to student advising and student recruitment. Familiarity with UW systems including training related to systems for student planning and auditing program requirements. Familiarity with field stations, ideally as a student and/or employee at a marine lab. Out-going, enthusiastic person who is eager to interact with students.
