Enterprise Services has an outstanding opportunity for a Project Manager - Finance Readiness The UW Finance Transformation Program (UWFT) is a $200M initiative to replace the University’s financial systems with an integrated system to manage the full suite of financial transactions and reporting needs in the UW system – to include academic, administrative, and healthcare. UWFT will fundamentally change the processes and tools that the University employs to track, spend, collect, manage, and report University finances in excess of $7B in annual revenues, resulting in more timely and actionable information for leadership. Among the UW’s highest administrative priorities, this multi-year initiative is one of the largest finance system projects in Washington State and the outcome of the program will be highly visible at all levels of the University and the state.
The UW is in the design/architect phase of the financial transformation program. In support of this project, UW Finance seeks a Project Manager to lead the critical effort of collaborating closely with the Finance Transformation program to drive design decisions regarding financial transactions. This position will facilitate mapping current business process to future business process, ensuring that key compliance and legal requirements are prioritized as the new system is determined. This position will further be responsible for revising and synchronizing policies, processes, web information, and tools to align with decisions emanating from the UW Finance Transformation Program (UWFT) and with the work products delivered through Workday.
Acting as project manager, policy interpreter, change champion, and end user advocate, this position will draw on many skills in leading UW Finance’s Finance Transformation readiness effort. From researching and developing a detailed project plan and resource estimates to assessing and clarifying opportunities to partner with existing Finance and UWFT team members, this work will support a successful user experience by making it easy for employees and managers to ultimately participate in the design and implementation of the new system so that they can support accurate and timely transactions in the future.
RESPONSIBILITIES:
Project Management
•Develop an integrated project plan and structure to support Finance’s departmental change management program; assist in defining the change management scope and priorities.
•Work closely with the UWFT Program and Finance subject matter experts to organize, lead, and actively participate in identifying, documenting, prioritizing, and drafting design requirements for the Finance Transformation program. Support the mapping of current to future business process.
•Gauge opportunities to partner with existing Finance and UWFT resources and partner with Finance HR to develop contributed labor plans/staffing strategies to support system development.
•Work with Finance leadership and UWFT change management manager to support development and implementation of Finance’s change management program, with the ultimate goal of partnering Finance with the UWFT program.
•Develop work progress and timelines for readiness efforts; own accountability for, and drive project team to achieve results on time and in harmony with the UWFT Program.
•Prepare and deliver readiness reports for both UWFT program staff and Finance leadership. Participate as a member of key leadership committees for UWFT.
•Assess, track, and lead the resolution of issues; assess strategies for mitigating risks; escalate issues and risks to UWFT leadership and VP of Finance as needed.
•Assist Finance managers in evolving operations as the UWFT program moves towards launch, and plan for the operational model after launch; ensure staff are trained appropriately to complete assigned work after launch of the new system.
Content Coordination
•Conduct a high level needs analysis of changes required to align UW Finance business information, operations and practices with the future state that will be introduced with the new Workday system.
•Work with each Finance unit to re-develop Finance content; assist in determining needs for website redesign planning, developing a work plan for completing comprehensive revisions to content, including policies, procedures, forms, and reference materials.
•Lead the development and revision of policies and processes key to the success of the UWFT Program, user experience, and departmental effectiveness.

Requirements:
Bachelor’s degree in a related field and 4-5 years of increasingly responsible project management experience in Finance or similar field, including:
• Experience in change management with an ERP implementation project
• Experience in researching and recommending operational changes to support business process redesign
• Successful leadership in a cross-functional project
• Ability to work effectively in a team environment including meeting facilitation and ability to motivate timely and effective participation by team members
• Ability to view a project at a high level as well as get into the details
• Flexibility and commitment to team work
• A successful track record of planning and managing to move a project forward to timely completion against aggressive timelines
• Ability to identify issues, resolutions, risks and mitigations
• Ability to manage effectively in a heavily matrixed environment.
• Excellent oral and written communications skills; demonstrated and committed to provide excellent customer service
• Strong office and project organizational skills, attention to detail, ability to meet deadlines
• Strong knowledge and experience in Microsoft products including Word, Excel, PowerPoint
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
