UW Bothell – Center on Reinventing Public Education has an outstanding opportunity for a Project Manager.
The Center on Reinventing Public Education (CRPE) is one of the nation’s leading sources for transformative, evidence-based ideas to improve education. To ensure all students are prepared for a rapidly changing future, we put forward rigorous research and policy analysis to help educators, policymakers, civic and community leaders, parents, and students themselves reimagine education systems and structures. We make sense of complex trends and data, communicate new possibilities for system change, and provide guidance and thought leadership to support that change. The Project Manager will acts as a project manager for the Director's projects. Working closely with the Director to help manage workflow and decision making, this individual has eyes on all CRPE activities and external communication, and prioritizes the Director's work to drive projects and day to day needs forward. The person in this role also works closely with operations staff and researchers to manage grant reporting and plan events related to grant deliverables.
DUTIES AND RESPONSIBILITIES
o Work closely with the Director to develop systems and strategies to track center-wide progress on all projects; facilitate project planning and management; develop processes and procedures on how to best organize the multiple of factors, people involved, and competing interests.
o The incumbent receives, reads, screens and prioritizes all incoming correspondence and telephone calls for the Director’s Office. This includes exercising independent decision-making to solve problems, provide answers or collaborate with other staff members as appropriate.
o Maintains and manages a complex calendar for the Director; including scheduling regular meetings, appointments and conferences in coordination with internal stakeholders such as the leadership team and external stakeholders such as funders.
o Lead internal communications and tracking of CRPE’s impact against all products to include deliverables on grants such as reporting and convenings.
o Provide event planning leadership for project events, conferences, and staff meetings. Ensure that the participants for these engagements are fully briefed on agenda items, have received all required materials and receive follow-up information in a timely manner.
o Draft, proof and prepare correspondence, proposals, presentations and requests for information that often include sensitive financial or HR information for funder communication.
o Collect data for discrete research projects.
o In partnership with the Grants and Operations Manager act as IT support and file management expert.
o Assist the center as needed with special project and back up needs such as Human Subjects information, pre and post award grant duties.
REQUIREMENTS
o Bachelor’s Degree in business administration, public administration, or a public policy-related field .
o Minimum three years of progressively responsible experience in an administrative office environment including direct support of senior leadership.
o Project management experience.
o Strong interpersonal skills and customer service orientation. Poised, professional manner and the ability to communicate clearly, directly and empathetically in all interactions, to include verbal and written communications, one-on-one conversations, and in group settings.
o Demonstrate tact, discretion, and flexibility.
o Demonstrated ability to to proactively and skillfully engage others in ways that help resolve differences, manage conflicts, and build consensus, all with the best interests of the organization in mind.
o Demonstrated creativity, organizational ability and strong attention to detail. Be an active collaborator in departmental activities, including retreats, recognition events, "think tank teams" and staff meetings.
o Ability to make organized and professional decisions in ambiguous situations, exercising good judgement based on information analysis in a fast-paced, dynamic, and deadline driven environment.
o Demonstrated ability to maintain confidences and protect confidential information.
o Demonstrated willingness to take ownership of new projects and work towards improvement of broad departmental processes.
o Ability to work with diverse constituents.
DESIRED
o Experience working in a higher education setting.
o Advanced skills and work experience using Microsoft Office applications, Google Calendar, Google Drive, and Adobe products.
o Experience working on a Mac a plus.
o Experience working with University financial and administrative systems.
o Four to five years of progressively responsible experience in an administrative office environment including direct support of senior leadership.
CONDITIONS OF EMPLOYMENT
o Ability to work evening and weekend hours as necessary on short or limited notice.
o Must be willing to travel nationally when necessary.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
