Whatcom Community College invites applications for a Program Assistant (Class Code 107M) position in the College's Advising and Career Services Center. This position reports to the Director for Academic Advising & Career Services.
- Job Responsibilities
-
Duties include, but are not limited to:
- Provide information and resources at front desk about college programs.
- Offer referrals and appointments to campus and community resources by phone, in person, and email.
- Provide administrative support for Student Success and Retention as requested by the Director for Student Success and Retention.
- Perform clerical coordination for learning and support programs.
- Manage print and digital degree requirement worksheets.
- Provide communication, outreach, and/or service referrals for students receiving Early Alerts.
- Participate in quarterly Advisor Training and annual off-campus advising workshops.
- Design and produce both complex word processing documents and publications with desktop publishing software for office use, mailings and dispersal to campus community.
- Attend and participate in college committees and departmental meetings as needed.
- Manage Advising and Career Services website content.
- Perform other duties as assigned or delegated by the Director or Associate Director for Academic Advising and Career Services.

Minimum Qualifications:
- High school graduation or equivalent.
- Demonstrated proficiency in office technology; demonstrated ability to learn new software and programs.
- Associate's degree.
- Demonstrated experience in a fast-paced, high volume service area.
- Demonstrated experience working with diverse populations and the ability to actively contribute to a work environment that embraces diversity and access.
- Demonstrated experience to multitask in a fast-paced environment while maintaining high levels of accuracy and confidentiality.
- Demonstrated ability to work independently and accomplish program goals and deadlines with minimal supervision.
- Demonstrated ability to support events and planning.
- Experience monitoring budgets or other fiscal reports.
- Experience in admissions, onboarding or orientations.
- Range 35, full-time salary starting at $2,717 per month with periodic increments to $3,511 per month.

- Position's shift is 40 hours per week, Monday through Friday, 8am-5pm. Indoor office environment, working alongside other full-time staff and part-time student employees, with many interruptions and deadlines. May have extended hours sitting at the workstation. Evening or weekend hours and emergency back-up coverage during peak periods may be required. Occasional off-campus trainings/workshops or presentations to prospective students may require local travel. Hours may be flexible in summer quarter. Ability to lift up to 10 pounds.
